Backing up vital business files such as yearly sales, purchase reports and customer information is incredibly beneficial to any Mac user. Regularly backing up these files on an external hard drive allows you to keep content safely stored in an alternate location in case your Mac crashes or is deleted. Mac OS X also provides an option to check for and solve external hard drive problems before backing up the entire system, so that files will be backed up safely without losing data.
Manual Backups
1.Connect an external hard drive to the computer using the USB cable and wait for the icon for that drive to appear on the Desktop. Double-click the external hard drive's icon to open the disk window. By default, external drives compatible with Mac OS X are ready for use as soon as you connect them; however, if your drive is not showing up on the desktop, refer to the manual for setup instructions for that specific model.
2.Click 'Finder' on the Desktop to launch a new Finder window, and then locate the files to transfer to the external hard drive.
3.Drag each of the files you want backed up from your system from their location on your hard drive to the external hard drive's disk window. To organize content in folders, click the drop-down menu on the external hard drive's window and select 'New Folder' to create a new folder: for regular backups, it's useful to store content by date of backup.
4.Close the external hard drive's disk window once all files have safely been transferred to the device. Make certain that no files are still in the process of transfer before you close the window. Drag the hard drive's icon from the Desktop to the Trash bin to safely eject.
Using Disk Utility
1.Connect an external hard drive to the computer using the USB cable and wait for the drive's icon to appear on the desktop.
2.Insert your Mac OS X disc into the CD/DVD-ROM and restart your computer. Hold the 'C' key to start the system from the disc.
3.Select your language and choose 'Disk Utilities' from the 'Utilities' menu. Select the disk you connected to the computer from the source pane and click 'Verify Disk' to check for hard drive problems.
4.Click the 'Repair Disk' button to repair the hard disk if an issue is found. Click the 'New image' button, and then give the new image a name you'll remember easily. Select '128-bit' or '256-bit AES' from the encryption menu to add security to the backup. When prompted, enter a password to protect the image.
5.Click the 'Save' button and enter your administrator password. Wait for the imaging process to begin. It usually takes about a minute for 1 GB of data to be imaged to the external hard drive.
6.Select the new backup from the device pane when the process completes, select 'Images,' and then click 'Scan Image for Restore.' Wait for the scan to run.
7.Press 'Command-Q' when the scan completes, and then press 'Command-Q' again to quit the Mac OS X installer. Restart your computer.
Tips
- If you're transferring large files or backing up your entire system using Disk Utility, make sure your external hard drive contains sufficient disk space to accommodate files.
- Back up your files regularly. If you make changes to specific files, performing regular backups updates files.

Moving part or all of your iPhoto Library to an external hard drive is one of the most effective ways to free up precious space.Saturday, January 24, 2015, 11:00 pm PT (02:00 am ET)
Before starting the process, we suggest making an up to date Time Machine backup of your computer to an external hard drive or Time Capsule. Be sure the external hard drive you use to perform this backup is a separate unit from the one you will move the iPhoto Library to should anything happen.
If you have an account with a cloud storage service, such as Dropbox, Google Drive or even iCloud Drive, you can also upload the iPhoto Library to these services for extra redundancy.
To begin moving your library, open iPhoto, click File in the Menu Bar and select Switch to Library.
External Backup For Mac
A new window will appear listing any and all iPhoto Libraries detected on your computer. If you're not sure where the iPhoto Library file is located, look at the (Default) listing and the file path will be listed underneath. This should be located in the Pictures folder of your Home directory.Quit iPhoto by going to Quit iPhoto in the iPhoto Menu Bar or pressing Cmd+Q. Connect the external hard drive that you will use to copy the iPhoto Library. You should see it appear on your desktop.
Open a new Finder window and click Pictures in the left sidebar. Click and drag the iPhoto Library file onto the external hard drive icon on your Desktop.
Depending on how large your library is and the connection speed of the external drive, it may take several minutes or longer to complete the copy process.
Manual Backup Mac To External Hard Drive System
Once the copy is completed, hold the Option key on your keyboard and open iPhoto from the Dock or Applications folder. A new window will pop up asking you to Create a New Library, Choose the Selected Library or Other Library. Click on Other Library.
In the browser window that appears, navigate to your external hard drive, click the iPhoto Library file you've copied and click Choose.
iPhoto will open and as long as the external hard drive is connected, will reference the library on the external drive and not on your computer's drive.
Quit iPhoto once again and eject the external hard drive holding your new iPhoto Library. Open a new Finder window and navigate to the Pictures folder in the left sidebar again.
Right click or Ctrl+click on the iPhoto file and move it to the Trash.
Finally, to free up the space on your internal hard drive, open the Trash from the Dock or Finder window and click Empty Trash in the upper right corner.
Your iPhoto Library has officially been removed from the internal drive. You can now reconnect the external hard drive you used to copy the iPhoto library, open iPhoto and use it as normal.
If you open iPhoto without your external hard drive connected, iPhoto will give you an error message saying the 'Library cannot be found.' Quit iPhoto, connect the external hard drive and reopen to fix.
